Property Management
How to create a listing with the 7-step form, add photos and video tours, choose the nearby amenities visitors can search by, and keep your listings up to date.
In short
- The form has 7 steps: Basic info, Contracts, Features, Location, Nearby amenities, Media, Contacts.
- To publish you need a price, at least 2 attributes, at least 5 photos with a tag on each, and a pin on the map.
- You can hide a live listing from renters and show it again at any time, from My Properties or the listing page. Editing a hidden listing keeps it hidden unless you choose Save and show.
- Published listings go live straight away. There is no approval step.
- Tick Show approximate location only if you don't want visitors to see the exact pin. They see a shaded area of about 400 m instead.
- Nearby amenities are optional, but buyers and tenants can filter search results by them.
- You can add up to 3 video tours as links from YouTube, TikTok or Instagram. Videos are optional.
Before you start
- You need a lister account. If you signed up as a member, upgrade to a lister first; until then the add-listing page says you don't have permission.
- Set up a contact profile. The last step asks you to pick one, and you can't publish without it.
- Check which team you're working in. A listing you create while a team is selected belongs to that team, and the form header says New listing for followed by the team name. With no team selected it says New personal listing.
To start, choose Add Property in the sidebar or open /properties/create. Use the step tabs at the top or the Next and Previous buttons. When you create a listing you can only move forward once the current step is complete. You can always go back.
1. Basic info
- Property Name (required): what visitors see first, in search and in link previews. Include the type, a key feature and the area, for example "3 bedroom apartment with garden in Kilimani".
- Description: layout, condition, what's included, and any fees. Line breaks are kept.
- Category, Purpose and Unit Type (required). The unit types depend on the category.
- Bedrooms, Bathrooms and Size (in SQFT, SQM, Acre or Hectare). Bedrooms and bathrooms are switched off for Land and Venue.
For BnB, the Purpose is set to Residential for you and Max Guests (required to publish) and Beds fields appear. Both show on your listing page. For Land, choose Development for plots sold for building.
2. Contracts and prices
A contract is one way to take the property: buy, rent, freehold and so on, each with its own price. Choose Add Contract and fill in:
- Contract Type (required). Each type can be used once per listing.
- Price (required) with its currency: KSh, USD or EUR. Prices in Kenyan shillings are shown as "KSh".
- Deposit (optional).
- Billing Interval and unit (Hours, Days, Months or Years), for example 1 Months for monthly rent. Leave it at 0 for a one-off price.
- Payment Plan (optional): rent due dates, instalments and so on.
Which contract types you can pick depends on the category:
| Category | Contract types |
|---|---|
| Housing | BUY, RENT, OFFPLAN |
| Land | RENT, FREEHOLD, LEASEHOLD (to sell land outright, use FREEHOLD) |
| Venue, BnB | RENT |
| Others | All types |
If you change the category later, contracts that don't fit the new category lose their type and you'll need to set it again. The cheapest contract is the headline price on cards and on the listing page. You need at least one contract with a price above 0 to publish. A draft can be saved without one.
3. Features
- Property Amenities: what's on site, such as a pool, gym or borehole. Click the box to see them all or type to search, then pick.
- Property Attributes: at least 2 are required. Depending on the attribute, you tick it, type a value, enter a number (some have a unit), or choose one or more options. For Land, only external attributes are offered.
Nearby schools, shops and transport don't go here. They have their own step (Nearby amenities).
4. Location
- Choose Country, County and Constituency/Sub-County (required), then Ward if you know it.
- In Location Area, type at least 2 characters and pick a suggestion. If your area isn't listed, type its name and it's added.
- Set the pin (required). Use Find a neighbourhood or landmark to move the map to the right place, or Use my location if you're at the property. Then zoom in and click the map, or drag the marker, until it sits on the property. If you already have the coordinates or a map link, use Enter coordinates or paste a map link instead (see below).
- Optionally tick Show approximate location only.
Entering coordinates or pasting a map link
Choose Enter coordinates or paste a map link, paste into the box, then choose Place pin. The map moves there and drops the pin, which you can still drag. It accepts:
- coordinates, such as
-1.2864, 36.8172or1°17'11.0"S 36°49'02.0"E(as Google Maps shows them); - a full Google Maps link, the long address from your browser's address bar;
- a full OpenStreetMap link.
Short links such as maps.app.goo.gl/… don't contain the coordinates, so they can't be read. Open the link first and copy the full address from the address bar, or copy the coordinates (in Google Maps, press and hold the pin, or right-click the map, and choose the coordinates). The point must be in Kenya. Only the coordinates are saved, not the link.
Approximate location
With this ticked, the exact pin never leaves our servers for visitors:
- the public map shows a shaded circle of about 400 m, not centred on your pin, and no Get directions button;
- distances to nearby amenities are measured from the circle's centre and rounded, for example "~500 m";
- the pin is also left out of the data search engines read.
Search and the nearby amenities calculation still use your exact pin, so results stay accurate. You and anyone who can edit the listing still see the exact pin on your own listing page. Without the box ticked, visitors see your pin and a Get directions button that opens Google Maps.
5. Nearby amenities
Choose the schools, hospitals, shops, transport and other places near the property. Buyers and tenants can filter search results by them, and they appear on your listing's map and in the Amenities tab. This step is optional. Distances are straight-line from your pin.
On the map, the orange pin is your property, solid dots are places on your listing, and hollow dots are other places nearby.
Choosing places
- Nearby places lists suggestions grouped by type. Choose Add to put a place on your listing, or Hide to keep it off your listing.
- Use Search by name and the type filter (All types) to find a place further away.
- Places you add appear under On your listing. Remove takes one off. You can add up to 30.
- A place more than 20 km from your pin can't be added. If your pin moves and a place ends up too far away, it shows "More than 20 km from your pin: it won't be saved."
Even if you choose nothing, we work out the nearest 5 places of each type within 20 km of your pin, and search uses them. Visitors see every place you added, plus the nearest 3 of each type, but never a place you hid. If you move the pin later, distances are recalculated when you save.
Pinning a missing place
- Choose Can't find it? Pin a missing place.
- Click the map where the place is, or use Enter coordinates or paste a map link (how it works). It must be in Kenya and within 20 km of your property.
- Enter a name (for example "Kilimani Primary School") and choose a category.
- Under What's here?, tick what the place offers, such as a swimming pool or football pitch. Facilities the name spells out are ticked for you, and you can untick them.
- Optionally add an address or landmark and a description, then choose Add place.
If a similar place is already on the map (the same category within 150 m, or a similar name within 500 m), you're asked Is it one of these?. Choose Use this to add the existing place, or No, mine is a different place to save yours.
Places are shared. A place you pin is added to your listing and appears straight away for other listers and visitors. You can Edit or Delete a place you pinned until another lister adds it to their listing. After that, if it's wrong, use Report next to it on the public listing page so our team can fix it. Deleting a place removes it from every listing.
6. Photos and videos
Photos
- Upload at least 5 photos in JPG, PNG, WebP or AVIF, up to 10MB each. Choose Click to upload images or drag files onto the box. You can select several at once.
- You must crop each photo to landscape 16:9 or 4:3. It must be at least 1024×576 pixels. Drag the photo to move it inside the frame, and zoom in or out to choose how much is kept. Choose Apply & add image to add it.
- Give every photo a Room/Area Tag. You can't publish with an untagged photo. Visitors can browse the gallery by tag.
- The first photo is the COVER. It's shown on cards and in link previews. To reorder, drag a photo by its handle, use the arrow buttons, or choose Make cover.
- Use the delete button on a photo to remove it, or Clear All to start again. You're asked to confirm both.
We re-save every photo as WebP, no larger than 1920×1080 pixels, so pages load quickly. Use daylight, tidy rooms, and photos of the actual unit.
Videos
Videos are optional. You don't upload a file: post the walkthrough on YouTube, TikTok or Instagram first, then paste its link under Videos.
- Copy the video's link. In the YouTube, TikTok or Instagram app, that's usually Share, then Copy link.
- Paste it into the box and choose Add video (or press Enter).
- Optionally give it a title of up to 80 characters, for example "Full walkthrough". Without one, visitors see the app's name, such as "YouTube video".
- You can add up to 3 videos. Use the arrow buttons to change their order, and the delete button to remove one.
- Accepted links: a YouTube video or Short, a TikTok video (including the short vm.tiktok.com links the app shares), or an Instagram Reel. Channel, profile and playlist links, Instagram photo posts and other sites aren't accepted.
- A TikTok short link is checked when you save. If it can't be opened, open it in your browser and paste the full address instead.
- The video must be public on the app. If you delete it or make it private there, it stops playing on your listing, so remove it from the listing too.
- The same video added twice is kept once.
7. Contacts, then publish or save a draft
- In Search & Add Contact Profile, click to see your profiles and pick one. To create one, open the Contact Profiles page in a new tab. Your progress in the form isn't lost.
- Under How should visitors contact you?, choose Use in-app contact form (your details stay hidden and messages come to you) or Display contact details directly.
- Choose Publish Property to go live, or Save as Draft to finish later.
When you publish, every step is checked again. If something is missing, for example you removed photos after passing the Media step, you're taken to that step. A draft isn't checked for a price, attributes, photos, a contact profile or Max Guests when you save it, but it still needs a name, category, purpose, unit type, county, constituency and map pin. After saving, you're taken to your listing page.
Listing statuses
| Status | Meaning |
|---|---|
| Live (Published in My Properties) | Visible to everyone, in search and at its public address. |
| Draft | Only you, your team and our staff can see it. Its public address shows "not found". |
| Hidden | Published, but not shown in search or at its public address. Show it again with one click. Editing it doesn't show it again. |
Hiding a listing
To take a live listing down for a while, for example while it's let, choose Hide in My Properties or Hide from renters under Visibility on the listing page. Nothing else changes, and you can bring it back with Show or Show to renters again. A listing with no price can't be shown until you add one. Editing a hidden listing keeps it hidden (see Editing a listing). Drafts have no Hide button because they aren't public yet. To remove a listing for good, delete it.
Your listing page
My Properties in the sidebar (/properties) lists your listings, 20 per page, newest first. You can search by name, description or location, and filter by purpose, category and status (Draft, Published, Hidden). When a team is selected, you see that team's listings. With no team selected, you see your personal listings.
Choose View or a listing's name to open its page. It shows:
- the status badge (Live, Draft or Hidden), View listing (the public page, only for live listings) and Edit property;
- photos, key facts and prices;
- Videos, if you added any, so you can check they play;
- Features and amenities, with on-site amenities and nearby places shown as visitors see them;
- On the map: your exact pin, even for an approximate-location listing;
- Visibility: whether the listing is published and shown in search, with Hide from renters or Show to renters again;
- reviews.
Editing a listing
Choose Edit in My Properties, or Edit property on the listing page. On a published listing you can jump to any step. On a draft you move through the steps in order. Save with Publish Property (or Save as Draft to take it down).
On a Hidden listing the last step offers two buttons instead of Publish Property:
- Save changes saves your edits and keeps the listing hidden. You see "Listing saved. It's still hidden, so renters can't find it."
- Save and show saves your edits and makes the listing live again, as if you'd chosen Show. It needs a price, like Show does. You see "Listing saved and live again."
- You can edit your own listings. Any lister in the team can edit a team listing.
- Changing the name changes the listing's web address. Links you've already shared stop working, and the old address isn't redirected. The form warns you when you change the name of a published listing.
- Moving the pin recalculates distances to nearby amenities.
Deleting a listing
In My Properties, choose Delete and confirm. The listing disappears from search and its public page straight away. Reviews it received still count towards your lister rating (see Reviews & Ratings).
You can delete your own listings. For a team listing, the team owner can delete it, but other team members can't.
What visitors see
- Your photos, with the cover first, the price, and the Features, Amenities and Map tabs. Nearby amenities are listed under Amenities and shown on the map.
- Your videos, under the description, with a Watch video button on the photos. A video only loads from YouTube, TikTok or Instagram when the visitor presses play, so it doesn't slow the page down. Each one has an Open on link to watch it in the app.
- Get directions under the map and in the pin's bubble, for listings with an exact location.
- Report: visitors can report a listing, for example as a scam, misleading, a duplicate or already sold, and can report a wrong nearby place. Reports go to our moderation team, not to you, and our team may contact you about one (see Managing Submissions).
- For search engines and link previews, the page title is built from your listing's name, purpose and location, and the first photo is the preview image. A good name and cover photo help here.
Common questions
How many listings can I have?
There's no limit.
Does our team approve my listing?
No. It's live as soon as you choose Publish Property. Our team acts on reports.
Why can't I pick BUY for land?
Land for sale is listed as FREEHOLD (or LEASEHOLD). Buyers still find it: the Buy filter includes FREEHOLD and LEASEHOLD contracts.
Why can't I publish?
The message tells you what's missing. Usually it's fewer than 2 attributes, fewer than 5 photos, a photo without a tag, or no map pin.
Can I upload a video file?
No. Post it on YouTube, TikTok or Instagram and paste the link. Visitors then stream it from there, which works better on mobile data.
Can I copy a listing?
Not yet. Create a new listing and reuse your text and photos.
